    Event Registration for Notifications & Propagations

     

    PURPOSE

    This document describes the specifications related to the Registration for Event Notifications and for Event Propagations.

     

    REGULATION

    More detail regarding the regulation of Event Registration can be found in 'About SFC2014' section of this portal.

    PRE-CONDITIONS

    You can only maintain Event Registration linked to your ECAS-uid (European Commission Authentication Service unique user-id).

     

    Create the Event Registration for Notifications & Propagations

     

    Remark

    To create the Event Registration for Notifications & Propagations you must be an identified user of SFC2014.

    A user can register to receive event notifications to one or more email addresses. Web-services users can have events propagated to one or more systems linked to an ECAS-uid, once these systems are defined by the Commission in the SFC2014 database.

     

    1.       To access into the Event Registration section, first click on the Utilities link (1) in the menu and then on the Event registration link (2).

     

     

    You are redirected to the Event Registration creation screen:

     

     

    Record/Edit the Event Registrations

     

    Remark

    When editing the Event Registration, the e-mail address and the ECAS-uid are displayed in red, this indicates the registration is 'under revision' and changes have not yet been activated.

     

    Find all the information to complete each screen of the Event Registration. Below are the links to the main sections:

    Event Notifications

    E-mail Registration

     

    You can register one or more e-mail addresses for Event Notifications.

    ·         Click on the Add button 10-12-2013 11-12-11  to add a new email address.

    ·         Select an e-mail and click on the Edit button10-12-2013 10-54-13 to modify the e-mail address information.

    ·         Select an e-mail and click on the Remove button 10-12-2013 11-12-37 to delete the email selected, it will be automatically removed from the Table of Contents.

     

    1.       Click on the ADD button 10-12-2013 11-12-11 to create the registration for an e-mail address.

     

     

    The edit details form pop-up window appears:

     

     

    2.       Enter or select the following information:

    (1) Enter an e-mail address.

    (2) Click on the Update link to save all the information.

     

    Note

    After adding an e-mail address it is automatically added to the Table of Contents.

     

    3.       Clicking on the Event Notifications arrow    (1) will show you the e-mail address. Clicking on the e-mail address will display the Event Types and Filters screen (2) and the associated submenus.

     

     

    Subscribe for the Event Types and Filters

     

    Note

    Once you have entered an e-mail address you will need to subscribe for the Event Types (status changes, document uploads, etc.) and then you can apply filters (CCI number, Funds).

    The possibility to read the object referred in the notification always depends on the permissions of the User logged into SFC2014.

    The filter by CCI only allows filtering on CCIs that pass through the Consultation Hierarchies of the ECAS user's profiles.  The filter by Wild Card cannot impose this restriction at the moment of registering. Anyway, the possibility to read the object referred in the notification always depends on the permissions of the User logged into SFC2014.

     

    1.       After selecting the email address in the menu, click on the Edit button 10-12-2013 10-54-13 to specify the type of subscription and filter.

     

     

    The Event Notifications pop-up window becomes editable:

     

     

    2.       Enter the following information:

    (1) Select a type of subscription

    (2) Select a type of filter

    (3) Click on Update to save the information.

     

    Note

    You can select one of the three subscription types, the default value for the Commission users is 'Subscribe for Events generated by the Member States'. The default value for the Member States users is 'Subscribe for events generated by the Commission'.

    You can select one of two filters, the default value is 'Filter by CCI', and this selection will determine the Table of Contents that you can see.

     

    Subscribe for

     

    Event Type Groups

     

    Remark

    You will be asked to select one or more 'Event Type Groups', and this selection will determine the 'Events Types' you can select in the Event Types section.

     

    1.       Go to the Event Type Groups section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to select the groups.

     

     

    The Event Type groups table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the Event type Groups

    (2) Click on the Update link to save the information.

     

    Event Types

     

    Remark

    All Event Types belonging to the previously selected Event Type Groups and subscriptions types for which you have permission to view via one of your profiles will be automatically displayed.

     

    1.       Go to the Event Types section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to select the Event types.

     

     

    The Event Types table becomes editable:

     

    2.       Enter the following information:

    (1) Select the Event types

    (2) Click on the Update link to save the information.

     

    Use the Filter field to filter for specific Event Types:

    3.        Using a key word (1) and clicking on the EDIT button 10-12-2013 10-54-13 (2) will allow you to select the event type directly.

     

     

    The Table becomes editable:

     

     

    4.       Enter the following information:

    (1) Select the check-box

    (2) Click on the Update link to save the information.

     

    Filter by CCI

     

    Remark

    All users when choosing to filter by CCI, it is a must that at least one CCI is selected, otherwise the system returns an error message when activating the Subscription changes.

    When the type of filtering is by CCI then the selected CCIs are already limited to the Funds selected in the Funds Filter.

     

    Funds

     

    Remark

    Only the Funds to which you have access will be automatically displayed.

    When unselecting a Fund, the CCI Filters which do not contain any of the selected Funds will be removed.

    When unselecting a Fund, the Wild Card Filters containing a Budget Source which does not contain any of the selected Funds will be removed.

     

    1.       Go to the Funds section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the Funds.

     

     

    The Table becomes editable:

     

     

    1.       Enter the following information:

    (1) Select the check-boxes for the Funds you want to filter

    At least one Fund needs to be selected, otherwise all Funds for which the user has role permissions will be added automatically.

    (2) Click on the Update link to save the information.

     

    CCIs

     

    Remark

    All CCIs covering the previously selected Funds and which transit one of the user's active Profile Nodes containing at least one role, as defined in the Consultation Hierarchy, will be automatically foreseen.

     

    1.       Go to the CCIs section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the CCIs.

     

     

    The Table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the CCIs you want to filter.

    The CCI column will have a filter field which will allow filtering for specific CCIs.

    (2) Click on the Update link to save the information.

     

    Use the Filter field to filter for specific CCIs:

    1.        Entering part or all of a CCI number (1) and clicking on the EDIT button 10-12-2013 10-54-13 (2) will display all CCI numbers containing the filter values.

     

     

    The table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the CCIs you want to filter

    (2) Click on the Update link to save the information.

     

    Filter by Wild Cards

     

    Remark

    All Member State users when choosing  to filter by Wild Card, it is a must that at least one Wild Card record exists, otherwise the system returns an error message when activating the Subscription changes.

    If no Budget Source is provided in the Wild Card, then it will be automatically restricted to those containing one of the selected Funds.

     

    Funds

     

    1.       Go to the Funds section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the Funds.

     

     

    The Table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the Funds you want to filter

    (2) Click on the Update link to save the information.

     

    Wild Cards

     

    You can ADD multiple Wild Cards by clicking on the ADD button10-12-2013 11-12-11.

     

    1.       Go to the Wild Cards section (1) and click on the ADD button 10-12-2013 11-12-11  (2) to enter a new Wild Card.

     

     

    The Edit Details pop-up window appears:

     

     

    2.       Enter the following information:

    (1) Select the Country

    The drop-down menu contains all the countries to which you have access plus TC. The Country is mandatory for Member State users.

    (2) Select the Leading DG

    The Leading DG list contains all DGs.

    (3) Select the Budget Source

    The Budget Source list contains all budget sources covering Funds previously selected.

    (4) Select the Object subtype

    (5) Click on the Update link to save the information

     

    Event Propagations

    System Registration

     

    Remark

    Only webservices users can register one or more systems for Event Propagations. Each external system is defined in the SFC2014 database by the Commission.

    Each external system is linked to an ECAS-uid and only the user with this ECAS-uid can manage the Event Propagations.

    If the ECAS-uid is displayed in Red this indicates the registration is 'under revision' and changes have not yet been made.

     

    You can register one or more systems for Event Propagations.

    ·         Click on the Add button 10-12-2013 11-12-11  to add a new system.

    ·         Select a system and click on the Edit button10-12-2013 10-54-13 to modify the information of this system.

    ·         Select a system and click on the Remove button 10-12-2013 11-12-37 to delete the system selected, it will be automatically removed from the Table of Contents.

     

    1.       Click on the ADD button 10-12-2013 11-12-11 to create the registration for a system linked to an ECAS-uid.

     

     

    The Edit details pop-up window appears:

     

     

    2.       Enter the following information:

    (1) Select the system

    The system list contains all systems managed by the webservices user as defined in SFC2014 database by the Commission.

    (2) Click on the Update link to create the registration.

     

    Note

    After adding a system it is automatically added to the Table of Contents.

     

    Subscribe for the Event Types and Filters

     

    Note

    Once you have entered a system you will need to subscribe for the Events Types (status changes, document uploads, etc.) and then you can apply filters (CCI number, Funds).

     

    1.       Click on the Edit button 10-12-2013 10-54-13 to specify the type of subscription and filter.

     

     

    The Event Propagations pop-up window becomes editable:

     

     

    2.       Enter the following information:

    (1) Select a type of subscription

    (2) Select a type of filter

    (3) Click on Update to save the information.

     

    Note

    You can select one of the three subscriptions types, the default value for the Commission users is 'Subscribe for Events generated by the Member States'. The default value for the Member States users is 'Subscribe for events generated by the Commission'.

    You can select one of two filters, the default value is 'Filter by CCI', and this selection will determine the Table of Contents that you can see.

    Event Type Groups

     

    Remark

    You will be asked to select one or more 'Event Type Groups', and this selection will determine the 'Events Types' you can select in the Event Types section.

     

    1.       Go to the Event Type Groups section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to select the groups.

     

     

    The Event Type groups table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the Event type Groups

    (2) Click on the Update link to save the information.

     

    Event Types

     

    Remark

    All Event Types belonging to the previously selected Event Type Groups and subscriptions types for which you have permission to view via one of your profiles will be automatically displayed.

    1.       Go to the Funds section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the Funds.

     

     

    The Table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the Funds you want to filter

    (2) Click on the Update link to save the information.

     

    CCIs

     

    Remark

    All CCIs to which you have access will be displayed.

     

    1.       Go to the CCIs section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the CCIs.

     

     

    The Table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the CCIs you want to filter

    (2) Click on the Update link to save the information.

     

    Use the Filter field to filter for specific CCIs:

     

    3.        Entering part or all of a CCI number (1) and clicking on the EDIT button 10-12-2013 10-54-13 (2) will display all CCI numbers containing the filter values.

     

     

    The table becomes editable:

     

     

    4.       Enter the following information:

    (1) Select the check-boxes for the CCIs you want to filter

    (2) Click on the Update link to save the information.

     

    Filter by Wild Cards

     

    Remark

    All Member State users when choosing  to filter by Wild Card, it is a must that at least one Wild Card record exists, otherwise the system returns an error message when activating the Subscription changes.

     

    Funds

     

    1.       Go to the Funds section (1) and click on the EDIT button 10-12-2013 10-54-13 (2) to filter the Funds.

     

     

    The Table becomes editable:

     

     

    2.       Enter the following information:

    (1) Select the check-boxes for the Funds you want to filter

    (2) Click on the Update link to save the information.

     

    Wild Cards

     

    You can ADD multiple Wild Cards by clicking on the ADD button10-12-2013 11-12-11.

     

    1.       Go to the Wild Cards section (1) and click on the ADD button 10-12-2013 11-12-11  (2) to enter a new Wild Card.

     

     

    The Edit Details pop-up window appears:

     

     

    2.       Enter the following information:

    (1) Select the Country

    (2) Select the Leading DG

    The Leading DG list contains all DGs having Funds previously selected.

    (3) Select the Budget Source

    The Budget Source list contains all budget sources covering Funds previously selected.

    (5) Click on the Update link to save the information

     

    Activate the Changes

     

    Remark

    When you are ready to activate/apply your registration, you have to Activate the Changes for an e-mail or a system.

    You can only activate changes of event registrations linked to your ECAS-uid.

    The Activate Changes button will only be shown on e-mails and systems under revision.

     

    1.       Go to the Event Notifications section (1) and click on the Activate Changes  (2) icon and the changes will be applied.

     

     

    Remark

    System validates that:

    -          When this concerns a Member State Ecas-uid who filters by Wild Card that at least one Wild Card record exists. When this validation rule is not correct, the system returns an error message saying 'Please define at least one Wild Card filter'.

    -          When one filters by CCI that at least one CCI is selected. When this validation rule is not correct, the system returns an error message saying 'Please define at least one CCI filter'.

     

    The e-mail address will be now displayed in black:

     

     

    The same procedure will be requested to activate the Event Propagations:

     

    1.       Go to the Event Propagations section (1) and click on the Activate Changes  (2) icon and the changes will be applied.

     

     

    Remark

    System validates that:

    -          When this concerns a Member State Ecas-uid who filters by Wild Card that at least one Wild Card record exists. When this validation rule is not correct, the system returns an error message saying 'Please define at least one Wild Card filter'.

    -          When one filters by CCI that at least one CCI is selected. When this validation rule is not correct, the system returns an error message saying 'Please define at least one CCI filter'.

     

    The ECAS-uid will be now displayed in black:
